How to Get More Real Estate Appointments to Show Up
To improve your real estate appointment show rate, make the meeting easy to understand and easy to attend. Confirm the details, explain the value, send what you promised, and stay responsive between the first conversation and the appointment.
Setting an appointment is only part of the job. You still have to meet the person.
The experience starts with the first response
I once clicked an ad early in the morning. By the time someone called a few hours later, I couldn’t remember what had caught my attention.
I’ve also had the opposite experience: a quick, personal response from someone who had read the notes and knew I was already a customer.
Speed matters. Context matters too.
Before reaching out, know what the person asked for. Don’t make them start over because you didn’t look at the information they already gave you.
Send a clear confirmation
After you set the appointment, send a short message with your name, contact details, and the agreed location and time.
Here is a simple example you can adapt:
“Hi Jordan, it’s Christian Stubbs. Good talking with you. We’re set for Thursday at 3 p.m. at the address we discussed. This is my number, so save it in your phone. I’ll send the information I promised shortly.”
Only confirm details you’ve actually agreed on. Make it easy for them to reach you if something changes.
Give them a reason to look forward to the meeting
If you promised information about a home, a question they asked, or how the appointment will work, send it promptly.
This isn’t an excuse to dump ten attachments into their inbox. Pick the information that helps them take the next step.
A short introduction video or a useful explanation of the process can help, especially when it answers a question they already have. The content should support the conversation.
Use a checklist so the basics happen every time
Our process is built around repeatable actions. For your appointment checklist, start with:
- Confirm time, location, and purpose.
- Share your contact details.
- Send the promised resource.
- Complete the brokerage-required preparation and agreements.
- Record the conversation and next action in the CRM.
- Follow through on any outstanding questions.
Your checklist will get better as you see where appointments fall apart. Keep it short enough that people actually use it.
Keep delivering after the meeting
The appointment isn’t the finish line. Thank them for meeting, send the relevant follow-up information, and recap the next step you agreed on.
Don’t assume the customer stopped thinking about real estate when you left. Make the next part of the experience just as clear as the first.
How should you measure show rate?
Track completed appointments divided by appointments scheduled over a defined period. Decide how you’ll handle cancellations and reschedules, then use the same definitions each time.
Review the missed appointments for patterns. Were the details unclear? Was the meeting booked too far out? Did the person understand why it was worth their time?
Improving this stage can help you get more value from the opportunities you already generate.
